Privacy policy
This policy covers the Letbinder app for iPhone and Android and the website letbinder.co.uk. Last updated 22 October 2026.
Who we are
Letbinder is made by Shadowmark Ltd ("we"), a company registered in England and Wales (company number 17533305), registered office Level 30, The Leadenhall Building, 122 Leadenhall Street, London EC3V 4AB. We are the controller of the personal data described here. For anything about your data, email support@letbinder.co.uk.
The short version
- Everything you put in the app stays on your phone. Your details, your properties and copies of your certificates are kept in the app's own storage. We never receive them.
- There's no account to create, no adverts, no analytics and no tracking. We never sell data.
- To manage your subscription, our subscription service sees an anonymous ID and your purchases, not who you are.
- If you join the waitlist, we keep your email address to tell you when the app is ready, and nothing more.
The app
What you enter, and your certificates
The register asks for your name, date of birth, home address, phone and email, and details of each property: its address, the number of people living there, the rent, licences, and copies of the gas safety record, electrical report and energy certificate. You enter these into Letbinder to get ready. They are stored only on your phone, in storage that other apps can't read. They're included in your phone's own backup (iCloud or Google) if you've turned that on; that backup is between you and Apple or Google.
Nothing you enter leaves your phone unless you choose to share it, for example by sending the PDF pack to someone. Certificates can include other people's names (a tenant's, an engineer's). Please share packs only with people who need them.
Reminders
Reminders are set on your phone by the phone itself. No reminder data goes to us.
Subscriptions
Apple or Google take payment; we never see your card details. We use RevenueCat, Inc. to check whether you have an active plan. RevenueCat receives a random ID the app creates, your purchase receipts and basic device and app details (such as the app version and your country). Lawful basis: performance of a contract (providing the plan you bought). RevenueCat is in the United States; transfers are covered by the UK's International Data Transfer Addendum to the EU standard contractual clauses. See RevenueCat's privacy policy.
Rule updates
The registration dates come from draft regulations and can change. So the app checks our server (api.letbinder.co.uk, hosted by Cloudflare) for an updated table of dates. The request carries nothing about you. Cloudflare necessarily sees your IP address to deliver the file; we don't keep logs of these requests.
The website and the waitlist
The deadline check on this website runs in your browser: the postcode you type isn't sent to us. The site sets no cookies.
If you join the waitlist we keep your email address, the postcode district of the last postcode you checked (for example "B1", never the full postcode), the number of properties if you chose one, and the date. We use them only to email you about Letbinder's launch and your region's dates. Lawful basis: your consent, which you can withdraw at any time by emailing us. We keep waitlist details until three months after the last region's window closes (so, at the latest, until February 2028), or until you ask us to delete them, whichever is sooner. They're stored with Cloudflare, Inc. as our processor. Before we send any email, we'll name the email service we use here.
Your rights
You can ask for a copy of the personal data we hold about you, ask us to correct or delete it, object to how we use it, or withdraw consent. Email support@letbinder.co.uk; we'll reply within a month. Data kept only on your phone is under your control: deleting a property or the app deletes it. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office.
Children
Letbinder is for landlords, and isn't meant for anyone under 18.
Changes
If we change how we use data, we'll update this page and the date at the top, and tell you in the app if it matters.
